What we’ll do for you
Our new service (launched in 2022) allows us to debit your payroll costs from your nominated bank account each month and pay your nanny and HMRC on your behalf. Using this service means that all your payments are made for you so you can relax in the knowledge that everything is done.
We will set up a Direct Debit agreement with you allowing us to debit the cost from your nominated bank account (you can change this account whenever you want to).
We debit the total cost from your bank account (excluding the pension payment which is collected via a separate direct debit).
We pay your nanny for you.
We pay HMRC for you.
Around the 15th - we will email you reminding you to send over any payroll changes for that calendar month.
5pm on the 18th - payroll cut-off date - all changes for the calendar month must be with us by this deadline.
Between the 19th and 21st - both you and your employee will receive your electronic payslip in advance of pay date.
Between the 20th and 22nd - we will email you confirming the amount being debited from your account that month with a breakdown of this amount.
Between the 24th and 28th (depending on weekends) - the funds will be debited from your nominated account.
On the 5th (or previous working day if this falls on a weekend) - your employee will be paid for the previous calendar month.

Advantages of service
It is a well-known fact that families who employ domestic help such as nannies, cleaners, housekeepers etc generally do so because they do not have the time to complete these tasks themselves. We so often speak to parents who are rushing around, on the train or whispering because they are at work because they are so time poor.
What little time they then have when they get home from work, they then want to spend with their children and relaxing from their day.
This service allows you the stress-free knowledge that everything is taken care of for you.
Disadvantages of service
Due to the way Direct Debits and payment files work, the bank requires processing time which means that we are unable to change the amounts once we have submitted the payment file.
This means that we must finalise your payroll much earlier than we would usually have to and before the month is finished. To allow for bank processing time and time for us to make any changes we have had to set the cut-off date at the 18th for any payroll changes, after this we can reflect them in the following month.
However, in true NannyPaye style we also have a window built in where we can make emergency changes if there is a problem such as your nanny leaves unexpectedly. Our emergency window is not for things that can be carried forwards such as forgotten to add some overtime, but they are exactly as described, for emergencies only. This is simply because this requires us to completely cancel your payments for the month, meaning this would then have to be completed manually.
When using our payments service, we are unable to offer the same flexibility surrounding payday and pay periods that we offer on our standard service. All our clients using this service have the same payday of the 5th of the month for the previous calendar month (or the last working day before this if it falls on a weekend). These cannot be changed when using this service.
